Connect your Calendar to Krisp

Connecting your calendar with Krisp improves the accuracy of your meeting transcripts and notes. This article will guide you through the integration process.

Connecting your calendar

If you are a newly signed-up user, you'll be asked to connect your calendar after you create an account and complete all the onboarding steps.

  Info

  • You can connect one calendar account to Krisp. We'll only use the calendar data associated with the Gmail/Microsoft account that you selected while connecting the calendar to Krisp. Inside that account, you can choose which calendars Krisp shows (see Show meetings from other calendars).
  • If you're using one Krisp account on multiple devices, the connected calendar will be visible on all those devices when you sign in to your Krisp account.

Krisp requests the following calendar permissions:

  • Calendar events: By accessing your calendar events, Krisp can match the meeting date/time with the date/time of the Transcripts, and use the calendar meeting name as the Transcript name. This helps you identify the correct Transcript and keep track of your meetings.
  • Contacts and Directory: Krisp can transcribe the speech of meeting participants, but it doesn't know speaker names on its own. With access to your contacts or directory, you can select speaker names to replace generic labels like "Speaker 1, 2, etc." with real names from your meeting invitation.

Viewing and managing meetings in Krisp

After connecting your calendar, Krisp provides a unified interface to view and manage your meetings:

  • Meeting visibility: All scheduled meetings are displayed in the Krisp app, giving you a full view of your meeting timeline.
  • Joining meetings directly from Krisp: Join any meeting with a single click, without switching to another app.

Krisp also keeps you updated from your taskbar/menu bar:

  • Taskbar/menu bar notifications for upcoming meetings: Krisp shows the name of your next meeting and a countdown to its start.
  • Ongoing meeting time tracking: While in a meeting, Krisp shows how much time is left directly on your taskbar/menu bar.

Control calendar events from Krisp Settings

You can control how your calendar events are displayed in the app, including which meetings appear on the Upcoming page, the meeting title, and the time remaining until it starts. Go to Settings >>> Calendar:

Show meetings from other calendars

By default, Krisp shows meetings from your main calendar only. If your Google or Outlook account has other calendars, like a team calendar or a client's calendar shared with you, you can turn them on:

  1. Go to Settings >>> Calendar.
  2. Under Visible calendars, turn on the calendars you want to see in Krisp.

  Info

  • Your main calendar is always on and can't be turned off.
  • Calendars you add later in Google Calendar or Outlook appear in this list turned off.
  • Turning a calendar off hides its upcoming meetings in Krisp. Notes from past meetings stay as they are.

Meetings from every calendar that's turned on work the same way as meetings from your main calendar. They show on the Upcoming page and in the tray app, you get join notifications for them, you can join them or send the Krisp bot to them from Krisp, and Krisp uses them to name your Transcripts.

On the Upcoming page, each meeting shows a stripe in its calendar's color, the same color you see in Google Calendar or Outlook. Hover over the stripe to see the calendar name. With only your main calendar on, Krisp looks the same as before.

  Important

  • Meetings from other calendars aren't shared automatically. Krisp doesn't auto-share them with attendees or teammates, or send them to connected apps like your CRM or Notion. You can still share them manually.
  • Turning on a calendar doesn't make the Krisp bot join its meetings. As before, the bot joins on its own only when it's invited to the meeting.

You can also open these settings from the Upcoming page. Click the sliders icon at the top right and choose Manage calendars. If the Upcoming page is empty and some of your calendars are off, click Add other calendars.

To link a recording to a calendar event, click the date under the meeting title. Each event in the list shows its calendar's color. If the event you need isn't listed, click Manage calendars and turn on its calendar.

Don't see the calendar you want?

Krisp shows the calendars in the calendar list of the account you connected. To see another calendar in Krisp, add it to that account first. This also works for a calendar from a different account, like a personal Gmail or a client's calendar.

Google Calendar

  1. Ask the calendar's owner to share it with the email shown under Connected calendar, with See event details permission or higher. Krisp can't show calendars shared as See only free/busy (hide details).
  2. Open the sharing email from Google and click the link to add the calendar. To add a person's main calendar, you can also go to Google Calendar, click Add other calendars next to Other calendars, choose Subscribe to calendar, and enter their email.
  3. In Krisp, go to Settings >>> Calendar and turn the calendar on.

Outlook

  1. Ask the calendar's owner to share it with the email shown under Connected calendar.
  2. Accept the sharing invitation in Outlook, so the calendar shows in your calendar list.
  3. In Krisp, go to Settings >>> Calendar and turn the calendar on.

Only your main calendar is listed (Google)

If Visible calendars shows only your main calendar with the message "Your other calendars show up here once you grant full access", click Grant full access and keep every box checked on Google's permission screen. Your other calendars then appear in the list, turned off.

Manage your calendar access

If you ever need to connect a different calendar account to Krisp or revoke a connected calendar, follow these steps:

  1. Go to Settings >>> Calendar.
  2. Click the Disconnect button next to your connected calendar.

  3. Now you can connect a new calendar whenever you want.

When you disconnect, Krisp clears your Visible calendars choices. After you connect again, only your main calendar is on.
